When you contact us regarding a booking of our facilities, via email, by post or telephone, we collect information from you which may include:

Your name
Your contact information including email and postal address and telephone number
Other information you may share with us regarding your booking enquiry.
Your bank account details where payment is made by cheque or Bank Transfer.

2. Lawful Basis

Our Lawful Basis for collecting and processing this information is the Legitimate Interest of King’s Cliffe Memorial Hall and you as a potential or actual hirer of our facilities in accordance with our Charitable Aims and Objects. It allows us to respond to your enquiries and confirm and administer any booking you make.

3. How we use your information

We will use your personal information to respond to your enquiries; provide you with information about hiring arrangements; and confirm and administer any booking you may make.
If you proceed with a booking of our facilities, we will retain your personal information for two full calendar years following the year in which you make and pay for your booking, or final booking if it is one of a series.
If you decide not to proceed with a booking, we will delete your enquiry and all the related personal information you have provided within a reasonable period of time, normally within one month from the end of our email correspondence.
We will not share your personal information with anyone else without your prior consent.
We will not share your information with any other organisation unless we are required to do so by law

We are committed to ensuring that your information is secure. We take reasonable precautions to prevent the loss, mis-use or alteration of information you give us.

5. Controlling your personal information

You can ask us for a copy of the personal information we hold about you, or to correct, update or delete it by emailing us at kcmhoffice@gmail.com or by writing to us at King’s Cliffe Memorial Hall, Church Walk, King’s Cliffe, PE8 6XD. We will action your request within a reasonable period of time, normally within one calendar month of receiving your request.
